1. Introduction
FieldFlow Labs LLC ("FieldFlow," "we," "us," or "our") operates getFieldFlow.io. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data.
By creating an account or using the Service, you agree to the practices described here.
2. Information We Collect
Information You Provide
When you register or use FieldFlow, we may collect:
- Name and email address
- Organization name
- Billing information (processed by Stripe — we do not store card details)
- Any content you submit through support or contact forms
Google Sheets Access
FieldFlow connects to your Google Sheets to power your directories. When you authorize this connection, we access:
- The specific Google Sheet(s) you connect to a project
- Sheet data including column names and row values
We access this data solely to sync and display your directory. We do not sell, share, or use your sheet data for any purpose beyond providing the Service to you. We do not retain a permanent copy of your sheet data — synced data is stored in our database to serve your directory and is deleted when you remove the project or close your account.
Embed and API Key Data
When visitors interact with an embedded FieldFlow directory on your website, we collect:
- Anonymous usage data (page views, search queries, filter interactions)
- No personally identifiable information about your directory visitors unless they submit a form you configure
Information Collected Automatically
When you use getFieldFlow.io, we automatically collect:
- IP address
- Browser type and version
- Device and operating system information
- Log data (actions, timestamps, errors)
- Cookies and similar technologies for session management
Analytics
We use analytics tools to understand how the product is used. This includes feature usage, navigation patterns, and error data. This data is used solely to improve the Service and is not sold or shared with third parties.
3. How We Use Your Information
We use your information to:
- Provide, operate, and improve the Service
- Sync your Google Sheets data to your directories
- Process payments and manage your subscription
- Send transactional emails (account confirmations, sync notifications, billing receipts)
- Respond to support requests
- Comply with legal obligations
We do not send marketing emails without your explicit opt-in. We do not make outbound sales calls.
4. How We Share Your Information
We do not sell your personal information. We share data only in these circumstances:
- Service providers: Stripe (payments), Clerk (authentication), our analytics provider, and infrastructure providers who help us operate the Service. These providers are contractually bound to protect your data.
- Legal obligations: If required by law, court order, or to protect the rights and safety of FieldFlow, our users, or others.
- Business transfers: If FieldFlow Labs LLC is acquired or merges, your information may transfer as part of that transaction. We will notify you in advance.
- With your consent: For any other purpose with your explicit permission.
5. Google OAuth and Data Access
FieldFlow's use of Google APIs complies with the Google API Services User Data Policy , including the Limited Use requirements.
Specifically:
- We only request access to the Google Sheets you explicitly connect
- We do not use your Google data for advertising
- We do not share your Google data with third parties except as required to operate the Service
- You can revoke FieldFlow's Google access at any time from your Google account settings
6. Data Security
We implement industry-standard security measures including:
- Encryption of data in transit (TLS) and at rest
- Secure credential storage via Clerk
- API key hashing — full keys are never stored in plain text
- Restricted access controls on production infrastructure
No method of transmission or storage is 100% secure. We cannot guarantee absolute security but will notify you promptly in the event of a breach that affects your data.
7. Data Retention
- Account data: Retained while your account is active and for up to 90 days after deletion to allow recovery.
- Directory/sync data: Deleted within 30 days of project removal or account closure.
- Billing records: Retained for 7 years as required for tax and legal compliance.
- Support communications: Retained for 2 years.
8. Your Rights
Depending on your location, you may have the right to:
- Access a copy of your personal data
- Correct inaccurate information
- Request deletion of your account and associated data
- Object to or restrict certain processing
- Data portability (receive your data in a machine-readable format)

9. California Residents (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act:
- The right to know what personal information we collect and how it is used

- The right to non-discrimination for exercising your privacy rights

10. Children's Privacy
The Service is not intended for individuals under 18. We do not knowingly collect personal information from children. If we become aware that we have collected data from a child under 18, we will delete it promptly.

The Service may contain links to third-party websites. We are not responsible for the privacy practices of those sites and encourage you to review their policies.
12. International Users
FieldFlow Labs LLC is based in the United States. If you access the Service from outside the US, your data may be transferred to and processed in the United States. By using the Service, you consent to this transfer.

13. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated by email or in-app notice at least 14 days before taking effect. The "Last Updated" date at the top reflects the most recent revision.
